ROCKY MOUNTAIN PATHFINDER SOCIETY - Privacy policy

This policy explains in detail how “ROCKY MOUNTAIN PATHFINDER SOCIETY” along with its affiliated companies (hereinafter “we”, “us”, “our”, “ROCKY MOUNTAIN PATHFINDER SOCIETY”, “https://origin.rockymountainpfs.com”) and phpBB (hereinafter “they”, “them”, “their”, “phpBB software”, “www.phpbb.com”, “phpBB Limited”, “phpBB Teams”) use any information collected during any session of usage by you (hereinafter “your information”).

Your information is collected via two ways. Firstly, by browsing “ROCKY MOUNTAIN PATHFINDER SOCIETY” will cause the phpBB software to create a number of cookies, which are small text files that are downloaded on to your computer’s web browser temporary files. The first two cookies just contain a user identifier (hereinafter “user-id”) and an anonymous session identifier (hereinafter “session-id”), automatically assigned to you by the phpBB software. A third cookie will be created once you have browsed topics within “ROCKY MOUNTAIN PATHFINDER SOCIETY” and is used to store which topics have been read, thereby improving your user experience.

We may also create cookies external to the phpBB software whilst browsing “ROCKY MOUNTAIN PATHFINDER SOCIETY”, though these are outside the scope of this document which is intended to only cover the pages created by the phpBB software. Your account will at a bare minimum contain a uniquely identifiable name (hereinafter “your user name”), a personal password used for logging into your account (hereinafter “your password”) and a personal, valid email address (hereinafter “your email”). Your information for your account at “ROCKY MOUNTAIN PATHFINDER SOCIETY” is protected by data-protection laws applicable in the country that hosts us. Any information beyond your user name, your password, and your email address required by “ROCKY MOUNTAIN PATHFINDER SOCIETY” during the registration process is either mandatory or optional, at the discretion of “ROCKY MOUNTAIN PATHFINDER SOCIETY”. In all cases, you have the option of what information in your account is publicly displayed. Furthermore, within your account, you have the option to opt-in or opt-out of automatically generated emails from the phpBB software.

Your password is ciphered (a one-way hash) so that it is secure. However, it is recommended that you do not reuse the same password across a number of different websites. Should you forget your password for your account, you can use the “I forgot my password” feature provided by the phpBB software. This process will ask you to submit your user name and your email, then the phpBB software will generate a new password to reclaim your account.

DATA RETENTION POLICY

ROCKY MOUNTAIN PATHFINDER SOCIETY seeks to ensure that it retains only data necessary to effectively conduct its program activities and work in fulfilment of its mission.
The need to retain data varies widely with the type of data and the purpose for which it was collected. ROCKY MOUNTAIN PATHFINDER SOCIETY strives to ensure that data is only retained for the period necessary to fulfil the purpose for which it was collected and is fully deleted when no longer required. This policy sets forth ROCKY MOUNTAIN PATHFINDER SOCIETY’s guidelines on data retention.

Scope

This policy covers all data collected by ROCKY MOUNTAIN PATHFINDER SOCIETY and stored on ROCKY MOUNTAIN PATHFINDER SOCIETY’s owned or leased systems and media, regardless of location. It applies to both data collected and held electronically (including photographs, video and audio recordings) and data that is collected and held as hard copy or paper files. The need to retain certain information may be mandated by federal or local law, federal regulations and legitimate business purposes, as well as the EU General Data Protection Regulation (GDPR).

Reasons for Data Retention

ROCKY MOUNTAIN PATHFINDER SOCIETY retains only that data that is necessary to effectively conduct its program activities, fulfill its mission and comply with applicable laws and regulations.
Reasons for data retention include:
  • Providing an ongoing service to the data subject (e.g. tracking user sign ups for PFS games, discussion of rules, and so on)
  • Compliance with applicable laws and regulations associated with financial and programmatic reporting by ROCKY MOUNTAIN PATHFINDER SOCIETY to its funding agencies and other donors
  • Other regulatory requirements
  • Security incident or other investigation
  • Intellectual property preservation
  • Litigation
Data Duplication

ROCKY MOUNTAIN PATHFINDER SOCIETY seeks to avoid duplication in data storage whenever possible, though there may be instances in which for programmatic or other business reasons it is necessary for data to be held in more than one place. This policy applies to all data in ROCKY MOUNTAIN PATHFINDER SOCIETY’s possession, including duplicate copies of data.

Retention Requirements

ROCKY MOUNTAIN PATHFINDER SOCIETY has set the following guidelines for retaining all personal data.
  • Website visitor data will be retained as long as necessary to provide the service requested/initiated through the ROCKY MOUNTAIN PATHFINDER SOCIETY website.
  • Forum posts will be retained indefinitely. Deleted users posts may be retained for historical purposes, but not tied to the deleted user. Any personal information will be removed.
Data Destruction

Data destruction ensures that ROCKY MOUNTAIN PATHFINDER SOCIETY manages the data it controls and processes it in an efficient and responsible manner. When the retention period for the data as outlined above expires, ROCKY MOUNTAIN PATHFINDER SOCIETY will actively destroy the data covered by this policy. Any exceptions to this data retention policy must be approved by ROCKY MOUNTAIN PATHFINDER SOCIETY’s data protection officer. In rare circumstances, a litigation hold may be issued by legal counsel prohibiting the destruction of certain documents. A litigation hold remains in effect until released by legal counsel and prohibits the destruction of data subject to the hold.

To request data destruction, please contact admin (at) rockymountainpfs.com, requestion your account be deleted. We will usually respond within 24-48 hours, though it may take up to a week under rare circumstances.
